Las Vegas Wedding Concierge: Dinner, Guests & VIP Plans

A Las Vegas wedding concierge can help connect the parts of your celebration that happen around the ceremony: welcome dinner, hotel arrivals, reception dining, transportation and the late-night celebration. Start with the ceremony location, guest count and confirmed timing, then build a weekend that guests can actually follow.

The most useful first question is not “Which venue is most exclusive?” It is “Who is responsible for each part of the day?” Ask your venue coordinator, wedding planner and concierge to agree on their scope before paying deposits. Ceremony production, vendor management and guest logistics may be separate services.

Choose the reception format before requesting quotes

For a small celebration, compare a restaurant reservation with a private dining room. For speeches, music or dancing, ask whether the space permits them and whether a buyout or dedicated event room is needed. A room’s standing capacity does not tell you how many people can sit comfortably for dinner.

As one concrete example, Wynn’s published Primrose Courtyard reception packages specify 25–75 guests and menus valid through December 31, 2026. Those limits apply to those reception packages, not every Wynn wedding space. Use venue examples to frame questions; they are not evidence of availability or an affiliation with Vegas Black Card.

Send separate counts for the ceremony, dinner and after-party. A 30-person dinner followed by nightlife for 12 needs different reservations from an all-evening celebration for 30. Our Las Vegas dining guide explains group requests, dietary details and reservation terms.

Check venue rules before hiring outside vendors

Ask about photography, floral deliveries, music, cake service and setup access before signing independent supplier contracts. Policies differ by property. Mandalay Bay’s wedding FAQ, for example, does not allow outside professional photography or videography in its wedding venue. Confirm the rules for your exact space and package in writing.

A hotel suite reservation should not be treated as permission to host a reception. Obtain explicit approval for the event, guest count, catering, noise and vendor access before building plans around a suite or private rental.

Compare the full quote, not just a package headline

  • Space and service: room rental, food-and-beverage minimum, service duration and what happens if dinner runs late.
  • Additional costs: tax, service charges, gratuity treatment, staffing, equipment, delivery and setup fees.
  • Guest changes: final headcount deadline, dietary requests, cancellation terms and deposit schedule.
  • Hotel rooms: room type, resort fees, booking deadline and any responsibility for unused rooms in a block.
  • Coordination: who manages each supplier, who is present on the day and which tasks cost extra.

Request a written total and a clear list of exclusions. Room upgrades, early check-in, discounts and sold-out dates remain subject to the property’s terms and availability.

Build transportation around fixed arrival times

Work backward from the ceremony check-in and dinner seating time. Allow for loading the group, walking through large resorts, photographs and traffic between properties. Give each driver an exact entrance and one reachable group contact. Guests with different flight times may need separate airport transfers rather than a single group pickup.

For a reception away from the ceremony hotel, request both outbound and return arrangements. Confirm vehicle capacity, luggage space, accessibility needs, waiting time and overtime terms using our VIP transportation planning guide. Around major event weekends, check hotel access and road updates for your date; our F1 weekend guide covers the questions to ask.

Make the after-party optional and clearly booked

Separate the family celebration from any age-restricted nightlife plan. Check the venue’s age and ID requirements for every guest, then confirm the table location, included admissions, minimum spend, arrival deadline and dress policy. Wedding attire does not automatically satisfy a nightclub’s rules.

Compare nightclub options and share the nightclub dress-code guide before guests pack. A table request is not a confirmed reservation until its terms and availability are accepted. Offer guests who skip nightlife a clear return plan.

Send one clear wedding-weekend request

Contact Vegas Black Card with your date and any flexibility, ceremony venue and timing, separate guest counts, hotel locations, dining preferences, transport needs and total budget range. Note what is already booked and which services you want help arranging. This allows the conversation to focus on workable options and a defined scope.

Request your Las Vegas wedding-weekend concierge plan. Ask for availability, itemized terms and written confirmations before committing to the itinerary.
